Privacy Policy — Christine's Travel Therapy

1. Who We Are

Christine's Travel Therapy ("we," "us," "our") is a travel advisory business operating under the umbrella of The Psalms Creative, registered with the Travel Industry Council of Ontario (TICO) under registration number TICO #5003057. We are located in Ontario, Canada, and this Policy explains how we collect, use, disclose, and protect the personal information of our clients, prospective clients, and website visitors.

This Policy is written to comply with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private-sector privacy law, which currently governs the collection, use, and disclosure of personal information in the course of commercial activity in Ontario. (Ontario does not currently have its own private-sector privacy statute, so PIPEDA applies directly.)

2. What Personal Information We Collect

Depending on the services you request, we may collect:

  • Identity & contact information: full name, date of birth, mailing address, email address, phone number

  • Travel documentation details: passport number and expiry, government ID numbers, visa status, frequent traveler numbers

  • Travel preferences and logistics: destinations, dates, accommodation and seating preferences, dietary restrictions, emergency contact information

  • Payment information: credit card details and billing address (processed via our secure payment authorization forms and third-party processors — see Section 5)

  • Health and accessibility information (where relevant to trip planning): mobility needs, allergies, medical conditions affecting travel arrangements, or other accessibility accommodations you choose to share with us

  • Communications: emails, messages, and call notes exchanged with our team, including through the TravelJoy client portal

  • Website usage data: IP address, browser type, and browsing behaviour, collected via cookies and analytics tools (see Section 8)

Sensitive information note: Health, medical, and accessibility information is treated as sensitive personal information under PIPEDA. We only collect it when you voluntarily provide it for the purpose of arranging suitable travel accommodations, and we apply a heightened standard of express consent and confidentiality to this category of information.

3. Why We Collect It (Purpose)

We collect and use your personal information only for purposes that are reasonable and identified at or before the time of collection, including to:

  1. Provide travel planning, booking, and advisory services

  2. Communicate with airlines, hotels, tour operators, insurers, and other travel suppliers on your behalf

  3. Process payments and issue invoices

  4. Comply with legal, regulatory, and TICO reporting obligations

  5. Respond to inquiries and provide customer support

  6. Send service-related communications (booking confirmations, itinerary changes, payment reminders)

  7. With your separate consent, send promotional or marketing communications in compliance with Canada's Anti-Spam Legislation (CASL)

  8. Improve our website and services through aggregated, de-identified analytics

We do not use your personal information for any purpose beyond what you would reasonably expect given the nature of our services, without first obtaining your consent.

4. Consent

By engaging our services, submitting a form, or providing your information directly to us, you consent to the collection, use, and disclosure of your personal information as described in this Policy.

  • Implied consent applies to information reasonably necessary to deliver the travel services you've requested (e.g., sharing your name and passport details with an airline to complete a booking).

  • Express consent is required, and will be separately obtained, for: sensitive information (health/accessibility details), marketing communications, and any use of your information beyond what's described in this Policy.

  • You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting our Privacy Officer. Withdrawing consent for certain uses (e.g., sharing information with a supplier) may limit our ability to complete or service your booking.

5. How We Share Your Information

We disclose personal information only as necessary to deliver our services or as required by law, including to:

  • Travel suppliers (airlines, hotels, cruise lines, tour operators, insurers) — to fulfill and manage your bookings

  • Payment processors — to process transactions securely

  • TravelJoy (our client relationship management and booking platform) — to manage your file, communications, and itinerary

  • TICO and applicable regulators — where required for compliance or dispute resolution

  • Professional advisors (e.g., legal, accounting) — on a confidential, need-to-know basis

  • Law enforcement or government authorities — only where required by law, court order, or valid legal process

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.

Cross-Border Data Transfers

Some of our third-party service providers, including elements of our booking and payment infrastructure, may store or process data on servers located outside Canada, including in the United States. When your information is processed outside Canada, it becomes subject to the laws of that jurisdiction, including potential access by foreign authorities under local law. By using our services, you acknowledge and consent to this cross-border transfer. We select service providers that maintain reasonable contractual and technical safeguards for personal information.

6. How We Protect Your Information

We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the information involved, including:

  • Restricted, need-to-know access to client files

  • Secure, encrypted transmission for payment information

  • Confidentiality obligations for any staff or contractors handling client data

  • Secure destruction of records once retention obligations have expired

No method of transmission or storage is 100% secure. If a security incident poses a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada in accordance with PIPEDA's mandatory breach reporting obligations.

7. How Long We Keep Your Information

We retain personal information only as long as necessary to fulfill the purposes identified in this Policy, or as required by law, TICO recordkeeping obligations, or applicable tax and accounting regulations (generally a minimum of six (6) years from the end of the relevant fiscal period, per CRA requirements). After that, records are securely destroyed or de-identified.

8. Cookies and Website Tracking

Our website may use cookies and similar technologies to:

  • Remember your preferences

  • Understand aggregate website usage and performance

  • Support analytics tools

You can control or disable cookies through your browser settings. Disabling cookies may affect certain website functionality. We do not currently use cookies for third-party behavioural advertising.

9. Your Rights

Under PIPEDA, you have the right to:

  • Access the personal information we hold about you

  • Request correction of inaccurate or incomplete information

  • Withdraw consent for certain uses, as described in Section 4

  • Ask questions about how your information has been collected, used, or disclosed

To exercise any of these rights, contact our Privacy Officer using the details in Section 1. We will respond within a reasonable time and in accordance with PIPEDA's requirements, generally within 30 days.

10. Complaints

If you have a concern about how we've handled your personal information, please contact our Privacy Officer first so we can address it directly. If you're not satisfied with our response, you may file a complaint with:

11. Children's Information

Our services are intended for adults arranging travel. We do not knowingly collect personal information directly from children under 13 without parental or guardian consent involvement.

12. Changes to This Policy

We may update this Policy periodically to reflect changes in our practices or legal obligations. The "Last Updated" date at the top of this Policy will reflect the most recent revision. Continued use of our services after changes take effect constitutes acceptance of the updated Policy.
